3.1. Synomi is a B2B service for small and medium-sized enterprises (SMEs) conducting business activity in Switzerland. The Service is not intended for private users.
3.2. An Account can be created free of charge: classically, using an e-mail address, or via “Sign in with Apple” or “Sign in with Google”.
3.3. Using Synomi requires an active Account with your company’s genuine data, in particular the company name, address and business identification number (UID) and — where applicable — the VAT (MWST) number. The UID is required for registration and, when the company is added, is checked for formal validity (check digit).
3.4. One Account can be assigned to only one company.
3.5. An Account whose registration (onboarding) process was interrupted because company data was not provided or false company data was provided is deleted within up to 14 days without separate notification.
3.6. The Service Provider reserves the right to verify that the Account data matches the actual company data — including by requesting that the User provide a current extract from the commercial register or comparable proof, obtained at the User’s expense. In the event of a justified suspicion that the Account uses a company’s data without authority to represent it, or if the proof is not provided within the set deadline, the Service Provider may block or delete the Account and notify the competent authorities.
3.7. The User undertakes to: keep their password and access keys secure, use two-factor authentication (2FA), and immediately report any unauthorised access to the Account.
3.8. The User may delete the Account directly in Synomi (Profile → “Konto löschen”; in the English interface: “Delete account”). Deletion starts a 30-day grace period during which the decision can be reversed by signing in again; after the period expires, the data is permanently and irreversibly deleted. Deletion can also be requested by email to hello@synomi.ch.
3.9. A trial Account on which, after the 14-day trial period has expired, no documents have been created and no Subscription has been activated, is deleted immediately and without separate notification. Deletion of an Account containing documents follows the procedure set out in point 3.8.
4.1. Synomi offers a Subscription for 1, 3, 6 or 12 months. The Subscription and the additional Modules are purchased exclusively on the website synomi.ch. The current prices are available on the website.
4.2. The prices shown on the website are net prices in CHF (excluding VAT (MWST)). Prices may change; Users will be notified in advance.
4.3. When you pay for a Subscription, the payment is processed by Mollie B.V. The available payment methods are shown to you at checkout.
4.4. The Subscription does not renew automatically. The User decides on renewal.
4.5. Invoices for the Subscription are issued by Synomi as the Service Provider (point 1) — in the same way as for clients in the Netherlands. They are created electronically and sent to the Account’s email address.
5.1. Synomi is a service for small and medium-sized enterprises (SMEs) conducting business activity in Switzerland.
5.2. In its features, Synomi takes into account in particular the following regulations:
5.3. The basic Subscription includes:
5.4. Additional Modules not included in the basic Subscription are available for an extra fee. The current price list with the Module descriptions is available on the website.
5.5. During the trial period, the User has access to all available Synomi Modules. After the trial period expires, the User decides which additional Modules they wish to use.
5.6. Active in Switzerland are document recognition (OCR), Daisy’s suggestions for bank statements and translations; for now, the chat with Daisy answers questions about using Synomi (details: Privacy Policy, section 2a). The User checks AI suggestions before accepting them; no document is created without the User’s confirmation. Voice-to-Invoice™ is not yet active in Switzerland; before it is activated, these Terms and Conditions and the Privacy Policy will be updated accordingly.
6.1. The Voice-to-Invoice™ feature makes it possible to create invoices and operate other Synomi features by voice command. In Switzerland the feature will be available soon; the following provisions apply from its activation.
6.2. Voice commands processed by the AI system are not stored after the operation has been completed.
6.3. The User is responsible for checking the accuracy of the data before approving a document created with Voice-to-Invoice™.
7.1. The Service Provider makes every effort to ensure the continuity and quality of the services.
7.2. The Service Provider is not liable for:
7.3. The User is responsible for:
The User, as the Data Controller, bears sole responsibility for the accuracy, completeness and archiving of the documents created and stored in Synomi for the period required by law. Synomi has no statutory or contractual obligation to retain the User’s accounting documents, tax documents or other data on the User’s behalf. Synomi is an IT tool for creating and managing documents, but it does not replace the statutory retention obligations.
7.4. The User is prohibited from:
8.1. The Synomi logo, Voice-to-Invoice™ and other marks are — unless otherwise stated on the Credits page — the property of Synomi.
8.2. The User retains all rights to their data (invoices, client directory, suppliers, services and other documents created in Synomi).
8.3. Copying, modifying or distributing elements of the Service without permission is prohibited.
8.4. Logos, trade names and trademarks of third parties — including those of Synomi’s partners and our Users — displayed on the website or in the application serve informational purposes only: with the knowledge and consent of their owners or in accordance with their published brand-usage guidelines (including the Apple, Google, App Store, Google Play and Mollie trademarks). They remain the intellectual property of their respective owners; their mention in Synomi implies neither a transfer of rights nor an endorsement of Synomi by these companies.
9.1. Personal data is processed in accordance with the Swiss Federal Act on Data Protection (FADP/DSG, SR 235.1). As the Service Provider has its registered office in the European Union (Netherlands), Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR) also applies.
9.2. Detailed information on data processing can be found in the Privacy Policy.
9.3. The synomi.ch application and database run on a server in Switzerland. The daily backup copies of the database are kept in the Netherlands (EU).
9.4. Roles of the parties. For the data that the User enters into or generates in Synomi in the course of their business activity (client data, invoice contents, receipts and documents, mileage log data), the User is the Data Controller (Art. 5 let. j DSG, Art. 4(7) GDPR) and Synomi is the Data Processor (Art. 5 let. k DSG, Art. 4(8) GDPR). This point constitutes a data processing agreement within the meaning of Art. 9 DSG and Art. 28 GDPR. For the User’s Account data (registration, contact and payment data, logs), Synomi acts as an independent Data Controller — the Privacy Policy applies to this data.
9.5. Subject matter, purpose and duration. The processing covers personal data solely for the purpose of providing the Synomi features chosen by the User (including creating and sending documents, mileage log, calendar) and lasts for the term of the contract. The data categories include data of the User’s clients and of other persons entered by the User (name, company data, address, email, UID/VAT (MWST) number, content of documents).
9.6. Obligations of Synomi as the Data Processor. Synomi: (a) processes the data solely on the documented instructions of the User (using a feature counts as such an instruction); (b) ensures the confidentiality of the persons authorised to process the data; (c) takes appropriate technical and organisational measures for data security in accordance with Art. 8 DSG and Art. 32 GDPR (encryption, access control, backup copies); (d) assists the User in safeguarding the rights of data subjects and in fulfilling their obligations under Art. 22–24 DSG and Art. 32–36 GDPR; (e) notifies the User of a data security breach without undue delay after becoming aware of it; (f) deletes the data after termination of the contract (see point 10) or enables its export.
9.7. Sub-processors. The User grants Synomi general authorisation to engage the sub-processors listed in the Privacy Policy (currently: Mollie, when you pay for a Subscription; Google and Apple — only for features chosen by the User, such as signing in with Google or Apple or calendar synchronisation). For the AI features described in section 2a of the Privacy Policy, Synomi engages Anthropic PBC; before Voice-to-Invoice™ is activated, the list of recipients will be updated. Synomi informs in advance of any intended addition or replacement of a sub-processor (update of the Privacy Policy and email in the case of material changes); the User may object and, if the objection cannot be accommodated, terminate the contract. Each sub-processor is bound by obligations at least as protective as those set out in this point.
9.8. Storage location and disclosure abroad. The data is stored on a server in Switzerland. The daily backup copies of the database are kept in the Netherlands — a country with adequate data protection within the meaning of the DSG (list of the Federal Council, Annex 1 DSV). Disclosure to sub-processors in the USA (Google, Apple) takes place on the basis of standard contractual clauses recognised by the Federal Data Protection and Information Commissioner (FDPIC).
9.9. Audit. Synomi makes available to the User the information necessary to demonstrate compliance with Art. 9 DSG and Art. 28 GDPR. Audits are carried out on the basis of documentation and written answers; on-site audits only by prior arrangement, during business hours, without impairing the Service and while maintaining confidentiality towards other Users.
10.1. The User may terminate the Service at any time. The rules for deleting the Account at the User’s request — including the 30-day grace period — are set out in point 3.8.
10.2. After the Subscription expires, the Account switches to read-only mode — the data remains available for viewing and downloading, and full functionality is restored by purchasing any package. If the Account remains inactive for 24 consecutive months (no logins and no active Subscription), the Service Provider may delete the data after prior notification by email; a period of 30 days is granted to download the data or renew the Subscription.
10.3. The Service Provider may terminate the contract with immediate effect in the event of:
11.1. Support for Synomi Users is available directly in Synomi — via a ticket system available around the clock (24/7).
11.2. If you cannot log in to Synomi, send a request with a description of the problem to hello@synomi.ch — from the email address assigned to your Synomi Account.
11.3. In the event of problems with registering the company, send a request to hello@synomi.ch; a reply will be given within no more than 7 working days.
11.4. Complaints are processed within 14 working days.
12.1. The Service Provider reserves the right to amend these Terms and Conditions.
12.2. Users will be informed of changes by email 14 days in advance.
12.3. Use of the Service after the changes come into effect constitutes acceptance.
13.1. The mobile application (iOS and Android) for synomi.ch is in preparation. Until then, you use Synomi in the browser, including on your mobile phone.
13.2. Before the mobile application for synomi.ch is launched, these Terms and Conditions will be supplemented with the provisions applicable to the application.
14.1. Matters not regulated by these Terms and Conditions are governed by Dutch law.
14.2. All disputes will be resolved by the court having jurisdiction over the Service Provider’s registered office (Rotterdam).
14.3. These Terms and Conditions in version 1.0 for synomi.ch apply from 8 October 2026.
